1. Principles of Writing Business Letters
Generally speaking, the principles are as follows: appropriate layout, logically connected ideas, correct grammar, spelling and punctuation marks, suitable style and tone, and tactfully organized information. (合理布局、邏輯思維、正確語(yǔ)法拼寫(xiě)標(biāo)點(diǎn)符號(hào)、適宜格式和語(yǔ)氣、準(zhǔn)確信息)
Specifically speaking, the essential qualities can be summed up in 7 C‘s: clear, concise, courteous, considerate, complete, concrete and correct.(清晰、簡(jiǎn)潔、禮貌、周到、完整、具體和正確原則)
2. Formats and Elements of Business Letters
2.1 Formats
Nowadays, two basic formats or styles of business letters are often used: block style and modified block style. (改良齊頭式)
Block style means that every line of the letter begins at the left margin.
Modified block style means that such letters use the basic block format. However, the following parts begin at the horizontal center of the page: the letterhead, the date, the complimentary close, the signature, the typed name and the official title. In this way, the letter will have a more balanced look.

4. Fax
Fax, the abbreviation of facsimile, is one of the widely used means of communication in the modern business circle, because it quickly, sometimes automatically, transmits and receives written messages as well as maps, patterns, diagrams and photographs.
It takes only a few seconds to transmit a message. What is sent at one end is received simultaneously at the other end. It uses the telephone line for sending and receiving messages, and the telephone number is also the fax number.
As a means of communication, fax is taking the place of telephone and telex in many business contacts today and will keep its popularity in the years to come.
Principles of Writing Faxes
�。�1)The common practices of writing business letters also apply to fax writing, but the salutation and complimentary close are normally omitted. In this case, the subject line is often necessary.
�。�2)Each page of a fax should be clearly numbered to make sure that the recipient receives the full message.
(3)A full signature is necessary if the faxes are sent through a fax machine. Initials are not acceptable.
�。�4)Concise fax messages are desirable taking the cost into account.
(5)Plain language should be used, simplified words and combinations are not acceptable.
�。�6)The address of the company of the recipient are not always written out in full. This means you may only type the name of the company without writing the address of the company in faxes.

The charges on air freight are determined either by weight or weight plus volume-that is, by the size of the pieces in the shipment.
Generally, a certain number of cubic inches is considered the equivalent of a pound of weight.(例如6000立方厘米折合一公斤)
With freight, the airline can also accept payment on delivery(到付運(yùn)費(fèi))。
In regard to international shipment some countries do not permit any shipment except those that have been prepaid(預(yù)付運(yùn)費(fèi)), no matter who the shipper is.
3. The Duties of an Air Freight Agent
In addition to the routine of arranging for pickup and delivery, booking the shipments on flights, and filling out air waybill,
the freight agent is also involved in such problems as tracing lost or strayed shipment and dealing with claims on damaged shipment.

1. Functions of an Air Waybill
The Air Waybill (AWB) is the most important document for a batch of air freight goods. It is both a contract for transportation between a carrier and a shipper (or an agent for a shipper) and a receipt and delivery of the shipments. An air waybill is also used for freight bill calculation, customs declaration, and specific information on handling the shipment.
Usually, an air waybill is non-negotiable, that is, the goods must be sent to the consignee titled in the air waybill. Each shipment has an air waybill. For consolidated shipments, individual air waybills, called the house air waybills, are also combined into a master air waybill for the consolidated shipment(集運(yùn)貨物)。
The AWB number is the identification of each consignment. It comprises three parts: a three-digit (三位數(shù))prefix identifying the carrier, the main portion identifying the consignment, and the last check digit for accounting and security purposes.
Each air waybill may have over ten copies. They are sent to the shipper, the consignees, and various departments (e.g., cargo section, accounting section, warehouse, etc.) of the carrier of goods.
The copy marked “Original 3 (For Shipper)” is the copy that would normally be presented under a documentary credit.
2. Copies and Number of AWB
The Cargo Manifest is another document put on face of each envelope.
Itis listing of all AWBs put inside the envelop. A cargo manifest forms the check list for cargo handling and cargo revenue(收入) accounting.
It is a source to compile cargo statistics, and is part of flight‘s general declaration for customs clearance.
